We are seeking a Fleet & Vehicle Program Coordinator who will be responsible for the day-to-day management of company vehicles and related driver programs. This role ensures accurate documentation, supports compliance with internal policies and external regulations, and serves as a key liaison between departments and vendors. The ideal candidate is detail-oriented, organized, and capable of managing multiple systems and vendors to support a safe, efficient, and well-documented fleet operation.
- Manage additions and removals of drivers and vehicles from the company’s insurance policy.
- Maintain an up-to-date vehicle inventory spreadsheet, including all relevant details for tracking and compliance.
- Review vehicle maintenance and repair orders for accuracy and assess whether recommended repairs are necessary or require further evaluation.
- Ensure all vehicles are properly documented and equipped with necessary materials (e.g., registration, insurance cards, gas and maintenance cards, and SunPass transponders).
- Log and manage incoming complaints related to company vehicles or drivers, including documenting trends and providing historical context as needed.
- Oversee the GPS and dash cam monitoring system, including:
- Ordering and assigning new devices
- Coordinating installations
- Troubleshooting issues
- Verifying that all cameras and GPS are fully operational
- Maintain the vehicle allowance program, ensuring accurate enrollment and documentation.
- Manage accounts and vendor portals related to fleet management, including Enterprise, WEX, SunPass, and other relevant platforms.
- Manage and track all company vehicle violations, including parking tickets, toll violations, and traffic citations. Ensure timely payment of any fines, fees, or violations received by the company related to fleet vehicles.
- Respond to management requests by pulling, compiling, and delivering reports as needed.
Training and Certification Requirements:
- Strong organizational and multitasking skills
- Experience with fleet management, vendor coordination, or similar administrative duties preferred
- Proficient in Excel and comfortable using web-based fleet and GPS management systems
- Excellent communication skills and ability to handle sensitive driver issues with discretion
- Ability to analyze maintenance reports and support decision-making on vehicle repairs
